Inter Library Loan

Books or periodicals that are not available in the collection of the Maastricht University Library can be requested from other Dutch libraries using the inter library loan service (ILL).



ILL for UM students

To request an ILL account you need to fill out  this application form. Your login information will be sent to you by e-mail.

  • To request an ILL account you need a valid UMcard
  • Your ILL account is valid as long as you are a student at UM. Any amount of money remaining in your account will not be refunded
  • The requested literature should be study and/or research related
  • The books you request will be sent to the University Library (You will receive an e-mail when the book is available. You have to return the book to the library)
  • The articles you require will be sent to you by email or post
  • If a publication is not available in a Dutch library it is possible to request it through international inter library loan.

Costs

The cost price of an ILL request is €6.50 but different rules apply for each faculty:

  • Arts & Social Sciences
  • Department of Knowledge Engineering
  • International Centre for Integrated Assessment and Sustainable Development
  • Maastricht Science College
  • Maastricht University School of Business & Economics
  • Psychology & Neuroscience
  • University College Maastricht
  • University of Midwifery Education & Studies Maastricht

Students of these faculties have to activate their ILL account by paying a minimum amount of €5 at the information desk of the Library. Each request costs €1, the remaining costs will be charged to the faculties. There will be a refund if there are no libraries that can supply your request.

  • Health, Medicine & Life Sciences
  • Maastricht Graduate School of Governance

Students of these faculties do not need to pay for their requests. Costs will be charged to the faculty.

  • Law

The faculty will provide you with one-off credits which you can use to make up to six requests. After that, you will be required to pay €6.50 per request, which you can deposit into the account using your bank card at the information desk. There will be a refund if there are no libraries which can supply your request.

Submitting requests with your ILL account

You can request literature which is unavailable in our library collection, but is available in the Netherlands, by using LibSearch or the Picarta database, you need to log in with your ILL account passwords.

  • Find the publication you want to request in LibSearch, click on the title and then on ‘Library Links’ (top right hand corner) , click on the ‘Request item ILL’ button. You will be redirected to the Picarta database
  • You  can also go to the Picarta database directly

  • Type your 6-digit UMcard number, preceded by UM (for instance: UM123456) and your password under – respectively – ‘name/number’ and ‘password’
  • Click on ‘send’; the ILL application form will appear
  • If necessary complete the form providing as many details as possible: year, volume number, issue, article, article author and page numbers
  • When requesting an article or a chapter, make your choice of delivery, i.e. by post or by e-mail. The document will be supplied by e-mail with either an URL or with a PDF
  • Please note ‘swift delivery’ will incur very substantial costs
  • When you confirm your request for e-mail delivery, the message ‘there are no candidates’ may appear on screen. There is a possibility that no library is able to provide an electronic copy of the required item. If you proceed by clicking on ‘post’, the request will be processed for postal delivery
  • Confirm your request by typing your password again and click on the ‘send’ button
  • A message will appear on screen stating that your request has been made and has been given an application number. The costs will be deducted from your account automatically
  • Clicking the button ‘My profile’ enables you to view your own details, such as your address, balance and requests, and to change your password.

ILL for UM/AzM employees

Before applying for an ILL account you need to activate your UMcard for library use at the information desk of the library.

To request an ILL account you need to fill out this application form. Your login information will be sent to you by e-mail.

  • The cost price of an ILL request is €6.50
  • The requested literature should be study and/or research related
  • The books you request will be sent to the University Library (You will receive an e-mail when the book is available. You have to return the book to the Library)
  • The articles you require will be sent to you by email or post
  • If a publication is not available in a Dutch library it is possible to request it through international inter library loan.

The costs will be charged to the ILL budget as determined by your faculty. There will be a refund if there are no libraries that can supply your request.

ILL for OU employees

Before applying for an ILL account you need to apply for a UMcard.

To request an ILL account you need to fill out this application form. Your login information will be sent to you by e-mail.

  • ILL is free for OU staff members
  • OU staff members receive a virtual starting balance of €200,-  on their ILL account. Once a year this can be raised with an additional €200,- by sending a request to ub-iblaccount@maastrichtuniversity.nl
  • The virtual cost price of an ILL request is €6.50
  • The requested literature should be study and/or research related
  • The books you request will be sent to the OU campus in Heerlen. If your office is not in Heerlen, books will be forwarded to your work address
  • The articles you require will be sent to you by email or post
  • If a publication is not available in a Dutch library it is possible to request it through international inter library loan.

 

Submitting requests with your ILL account 

You can request literature using Picarta.

  • Find the publication you want to request and click ‘full title presentation’
  • For books click ‘borrow’ and for articles, click ‘photocopy’

  • Type your 6-digit UMcard number, preceded by UM (for instance: UM123456) and your password under – respectively – ‘name/number’ and ‘password’
  • Click on ‘send’; the ILL application forms will appear
  • Complete the forms providing as many details as possible: year, volume number, issue, article, article author and page numbers
  • Make your choice of delivery, i.e. by post or by e-mail. The document will be supplied by e-mail with either an URL or with a PDF
  • Please note ‘swift delivery’ will incur very substantial costs
  • When you confirm your request for e-mail delivery, the message ‘there are no candidates’ may appear on screen. There is a possibility that no library is able to provide an electronic copy of the required item. If you proceed by clicking on ‘post’, the request will be processed for postal delivery

ILL for UM alumni

Maastricht University alumni have to go to the information desk in the library to make an ILL request. You need to be a member of the Maastricht University Library.

  • Requests for books and articles from periodicals can be made by filling in a form at the information desk
  • This desk only accepts bank card payments
  • For national ILL the payment is €6.50 per requested item
  • Should it be impossible to supply a requested item you will receive a refund voucher for a new request.

ILL for non-University Library members

If you are not associated with the Maastricht University, but you do possess a UM library card, you need to go to information desk at the library

  • Requests for books and articles from periodicals can be made by filling in a form at the information desk
  • This desk only accepts bank card payments
  • For national ILL the payment is €6.50 per requested item
  • UM business card €13 per requested item
  • Should it be impossible to supply a requested item you will receive a refund voucher for a new request.

Regulations for ILL accounts

ILL account regulations at Maastricht University Library

  • The ILL account consists of a user number and a password. The user number is the 6-digit number of your UMcard preceded by the letters UM (for instance UM123456). You will receive your password after opening the ILL account
  • The ILL account can be used to borrow books and request photocopies of books and articles from other libraries in the Netherlands
  • Requests to libraries abroad cannot be made through the ILL account. UM/AzM/OU staff members can make these requests electronically (see: International ILL below). UM students and non-University Library members can go to the library’s information desk
  • Photocopies are sent to your (work/home/e-mail) address
  • Books are sent to the library. Once the book you requested has arrived you will be notified
  • ILL account holders are personally responsible for providing correct address details (work/home/e-mail)
  • ILL account holders are personally responsible for keeping their user number and password secret. Should you lose your password, you may request a new password from the library. The library does not assume responsibility for any misuse of your ILL account
  • In case of complaints or questions about any incorrect deliveries or copies that are not received, please turn to the information desk
  • Students will be charged a minimum deposit of €5 when opening an account. This amount can only be settled with a bank card. The credit on the account can be topped up at the desk with a minimum of €5 at a time
  • No refund of the deposit will be given to students upon completion of their course of study.

INTERNATIONAL ILL

Is the book or journal article you applied for unavailable at a Dutch library? Then you can request it (or have it requested) from a library abroad.


International ILL for UM students

  • At the information desk you can submit an international inter library loan request for a book loan or a journal article copy
  • Please add a photocopy of the literature reference
  • You must pay a personal contribution* when you submit the request ( bank card only), the library charges the costs of international ILL to your faculty. (The ILL costs are €20 for books and €12 for journal articles)
  • Please note that if the book/article cannot be supplied, these costs will not be reimbursed
  • Library staff will apply for the book or journal article at a library abroad.

* Personal contribution to the costs of international ILL:

  • Health, Medicine & Life Sciences
    Psychology & Neuroscience

    • Students pay a personal contribution of €1
  • Arts & Social Sciences, Faculty of humanities and Sciences (DKE,UCM, ICIS) and School of business & economics
    • Students pay a personal contribution of €10
  • Law and Maastricht Graduate School of Governance (FHS)
    • Students do not pay a personal contribution.
